Our guarantee to Undergraduate students
We have a guarantee of an offer of accommodation to all first year and direct entrant undergraduate students who meet the following criteria:
- You have firmly accepted an unconditional offer to study at Edinburgh Napier University.
- You will be studying at the University for the whole academic year starting in September.
- You must reside outwith an EH postcode.
- You meet the appropriate clearance checks (non EU students only).
- You submit your online application and make your £500 advance rent payment by noon on 21 August 2017. Please note, we do not accept Maestro payments.
- You complete a guarantor form and payment schedule within 5 days of receiving your accommodation reservation email.
- You complete an online induction prior to signing your tenancy. Login details will be sent to you by email.
If you have a conditional offer, you won't be able to apply until this is unconditional - for most, this means waiting for exam results (eg Highers and A-Level). Don't worry though, our guarantee date is noon on 21 August, so there will still be time to apply after the results come out and still be guaranteed an offer of accommodation. A small number of spaces will be reserved at our Bainfield accommodation for the Higher and A-Level Results release date and these will be allocated on a first come, first served basis.
For students entering through clearing from GCSE England, Wales or Northern Ireland, we have reserved a small number of accommodation spaces through the Student Housing Company. These will be allocated on a first come, first served basis. This has allowed us to extend the deadline for applications and £500 advance rent payments until noon on 25 August.
We have limited spaces for Postgraduate students and these will be allocated on a first come, first served basis. If we have no spaces available after you have applied and made £500 advance rent payment we will contact you within 5 working days to arrange a refund.
Accommodation sites: Orwell Terrace will offer 39-week postgraduate accommodation and Slateford Road 50-week tenancies.
First Trimester students
There are very limited spaces reserved for First Trimester students, therefore you will be placed on a waiting list. Should a suitable space become available, we will contact you by email. Please note: you will be expected to make payment in full upfront for the total length of the tenancy. Generally, offers for First Trimester are given out in late June. If we are unable to make you an offer, assistance will be given to help you look in the private sector.
ISEP/CIS group booking spaces will be guaranteed to students who meet the requirements/deadlines, as spaces have been pre-reserved.
Veterinary Nursing spaces will have a small number of spaces guaranteed and pre-reserved and these will be allocated on a first come, first served basis.
Accommodation site: Bainfield accommodation will be offered to all successful First Trimester students.
Second Trimester students
There are very limited spaces reserved for Second Trimester students, therefore you will be placed on a waiting list. Should a suitable space become available, we will contact you by email. Please note: you will be expected to make payment in full upfront for the total length of the tenancy. Generally offers for 2nd Trimester are giving out in late October. If we are unable to make you an offer of 2nd Trimester assistance will be given in looking in the private sector.
ISEP/CIS group booking spaces will be guaranteed to students who met the requirements/deadlines as spaces have been pre-reserved.
Hong Kong group bookings will have a small number of spaces guaranteed and pre-reserved. If you are unsure of whether you are part of this group booking, please email the office directly and we can check for you.
Accommodation Site: Bainfield accommodation will be offered to most successful Second Trimester students.
EH Postcode students
Unfortunately, you will not come under the guarantee of an offer of accommodation, therefore please contact the Student Accommodation Office to be placed on a waiting list. Please note: you do not have to have an unconditional offer that you have firmly accepted to apply to go on the waiting list. Offers to students on the EH Postcode Waiting List will not be made until 22 August. If you want to appeal this decision due to extenuating circumstances, please send an email titled EH Postcode Appeal with a full description of the circumstances and these will be considered in late June/early July. Please note: there are no guarantees of a successful appeal, therefore we would strongly recommend you also submit an application to the waiting list.
We aim to offer all nursing students 50-week tenancies at our Slateford Road accommodation depending on availability. If this is not possible you will be given a standard tenancy according to the site you have been allocated instead of a 50-week tenancy.
We are not able to accommodate returning students. If you are in your second or subsequent year of study, you won’t be eligible to apply for our accommodation, and will instead need to seek accommodation in the private sector. The only exception to this rule are care leavers and students with additional support requirements due to specific disabilities.
Before applying for student accommodation
You will need your Edinburgh Napier Number, which is displayed on any offer direct from Edinburgh Napier University. Please note: this is not your UCAS number. If you do not have this, please try using matriculation look-up system to find your 8-digit number, otherwise you can contact the Admissions Office on 0131 455 2883 for undergraduates and 0131 455 2878 for postgraduates.
You can't choose your accommodation site when applying, but you can indicate a preference for room type and site on the application form and we’ll do our best to accommodate your preferences. Please note: you may wish to check which sites are applicable to you prior to applying by consulting the allocation policy.

When applying for student accommodation
If you make a mistake during the application process, email firstname.lastname@example.org to amend. Please do not submit a second application.
If you meet all the requirements above but have any issues when applying for student accommodation, please contact the office 0131 455 3713 or email.
After Applying For Student Accommodation
Once you have submitted your application and made your £500 advance rent payment, we will allocate you a suitable room and send you a reservation email within four working days, which contains details of your flat and rent costs. You will then be asked to:
- complete and return a guarantor form to us within five working days – this can be scanned and emailed or posted to us.
- complete the online induction within five working days of receiving the email. At the end of this online induction you’ll be able to select a time to collect your key and sign your tenancy on 1 or 2 September 2017.
- collect your key. For key collection, you’ll need to come to our Craiglockhart Campus to sign your tenancy and be given your key. If you are coming from the airport, you may wish to make use of Edinburgh Napier Direct.
Please note: students allocated to The Student Housing Company will have their advance rent payment sent directly to the relevant company, who will be in touch regarding guarantor forms, payment plans and key collection arrangements.
Arriving at your student accommodation
You will not be able to move into your accommodation before your tenancy start date.
Once you have collected your key from Craiglockhart Campus you’re free to move in to your new flat! If required, we provide a bus service to take you to your accommodation. If you are driving to the accommodation you can get dropped off at the accommodation depending on how busy the site is on arrival. Parking is limited, but we have arranged for our students to have access to a private car park at Fountain Park Leisure Complex from 10am to 4pm during the two key collection dates.
Your flat will be ready for your arrival and staff will be on-site to assist you if you have any queries or concerns. Please don't be afraid to ask questions - our contact numbers are on the noticeboard in your kitchen and we’re here to help.
Make an effort to meet your neighbours - everyone is in the same position as you! It's perfectly normal to feel apprehensive in the first few days in a new home but give it time, you’ll settle in soon.
Please note: students allocated to The Student Housing Company will not attend Key Collection at Craiglockhart Campus but will have separate arrival information which will be sent to you direct from TSHC.
Prior to signing your tenancy agreement
£150 will be retained by us as a cancellation fee if you cancel your accommodation before the start date of the tenancy. Any cancellations on or after the start date of the tenancy will result in a £350 cancellation fee if you have not yet signed your tenancy.
After signing your tenancy agreement
During your tenancy, you'll only be able to cancel your tenancy on the following grounds:
- you’re no longer a student at Edinburgh Napier University;
- you find a suitable replacement tenant;
- medical grounds supported by a letter from your GP.
Please note: A student who signs a tenancy with The Student Housing Company will not be released from their tenancy under these clauses. You should read the individual terms before signing your tenancy to ensure you fully understand their terms.
On application you paid a £500 advance rent payment. This is offset against the total rent for your tenancy, which is payable to the University in seven monthly instalments from 10 October to 10 April (or ten instalments until July for extended tenancies).
An indicative rent example is:
- Standard en suite room at Bainfield for 39-week tenancy – total rent is £5441.64
- Remaining rent after £500 paid with application is £4941.64, payable in six instalments of £705.95, and one final instalment of £705.94
- No payment is taken in May and your tenancy ends on 1 June

We have arranged contents insurance for you with Endsleigh. It is important for you to check this cover, so please follow the steps below to ensure you fully understand the protection provided:

Laptops, tablets, and phones are not covered for accidental damage or outside your room, so you may wish to consider taking out additional cover to protect your essential gadgets and other possessions.
Additional needs and disabilities
We have a number of accessible flats at our developments and ask that if you have any additional needs that you contact the office before making your application to ensure that we can meet those needs. Please do this as soon as possible, even if you do not yet have your unconditional offer, so we can pre-reserve an appropriate room and make the necessary adjustments if you do apply.
Please note: we can also arrange a visit to your pre-reserved room/site if time permits to ensure we can meet your requirements. Your Accommodation Officer will arrange for you to complete and return a Personal Emergency Evacuation Plan form if applicable prior to or early in the start of your tenancy.
Please note that you are a care leaver under "additional requirements" when applying, or contact the office with your Edinburgh Napier number, even if you do not yet have your unconditional offer, so we can pre-reserve an appropriate room if applicable.
As a care leaver you will have the option to stay within student accommodation for the total length of your course (up to four years) subject to no history of behavioural or financial issues whilst staying in student accommodation.
