Welcome to Alumni Records Shop

Once you have graduated, alumni can use our Alumni Records Shop to purchase:

An official letter - which will confirm your programme of study, start and end date, if any award was received and the date of your graduation if applicable
An academic transcript - which confirms your programme of study, the total number of credits and a breakdown of modules studied with us and results for these individual modules
An Award Certificate – If you require a replacement Award Certificate, please email recordsshop@napier.ac.uk
A Diploma Supplement - a document containing further information about your award and the University. The Diploma supplement will be produced on official Edinburgh Napier Diploma Supplement paper and can only be issued as a paper copy.

Who can use the Alumni Records Shop?

The Records Shop is for:

Any alumnus of Edinburgh Napier University, who has received their award certificate at a graduation ceremony or in absentia.
Any alumnus who officially exited and withdrew from their programme early and needs confirmation that they left with no award.

Those who cannot use the Records Shop include:

Did you graduate between October 2018 and now?

October 2018 - October 2024 graduates

The Higher Education Achievement Report (HEAR) provides a single comprehensive, verified electronic record of your achievements at Edinburgh Napier. This is available to eligible undergraduate students who graduated between October 2018 - October 2024.

This can be accessed electronically through our external partner Gradintelligence.

Graduates from 2025 onwards

Students who graduated from 2025 onwards can access their digital transcript though Gradintelligence.

There is no time limit on access to your transcript. You will have lifelong access once you have activated your Gradintelligence account.

I graduated over 7 years ago. Do you still have a copy of my record?

Due to data retention regulations, we may not hold full details for older records.

If you graduated over 7 years ago, please contact recordsshop@napier.ac.uk before placing an order via the shop. One of the team will be able to advise if we hold the information required for your specific enquiry.

Can you confirm my award for employers, agencies and third parties?

Via the Alumni Records Shop

Due to General Data Protection Regulations, only students/alumni can request documentation through the Alumni Records Shop.

If requested, we can send your order directly to a third party if required. Please put their details in the additional information field.

If you require documents to be sent to WES, please place an order specifically for WES/Third Party and put your WES reference number in the additional information/relevant field.

Via Grad Intelligence

If you are eligible for a Grad Intelligence account, you can also share your verified documentation from there to third parties directly. Find out more here.

Award verification is via Higher Education Degree Datacheck (HEDD) only.

How to place an order and information required

The Records Shop is not linked to your student account. Please register as a new customer with your personal email address. A user guide can be found here.

What information do we need?

You will need to provide enough information to allow us to locate your record.

This includes:

Full Name
Name if different at time of study
Date of Birth
Address at time of study
Year of Graduation/Completion
Award/Programme Title
Email Address
Phone Number
Current Address

How long will it take?

Orders can take 10-14 working days to be processed, this can take longer during peak periods.
If your record is older than 7 years old, then it may take longer to locate the required information.
The University utilises Royal Mail 1st class delivery inside the UK and DHL courier outside of the UK. These prices are automatically added depending on the delivery address.

Payment methods available

We accept MasterCard, Visa, Visa Debit, Visa Electron and American Express.
Your card details will be encrypted and only the last four digits will appear on your order confirmation. Your card details are not held once the transaction has completed and you will need to re-enter card details on subsequent visits.
Payment in full must be made at the time of placing the order, and any subsequent cancellation of your order will be refunded to the card used in the transaction.

If you have any issues with your card payment, please contact your card provider in the first instance.

Why there is a charge?

Documentation is available free of charge during your studies, but due to administration, time and provisions this is chargeable once you have graduated.
If you are eligible, some documentation is available through the GradIntelligence system free of charge.

Higher Education Degree Datacheck (HEDD)

Higher Education Degree Datacheck (HEDD) is an online verification service for employers and agencies to verify Edinburgh Napier University awards. Please note that this service is only for third parties. This online candidate verification service allows registered enquirers to input data provided by applicants (name, date of birth, institution, year of graduation, qualification classification etc)
